Privacy Policy

Who we are

Mea Mehaza Association (MMA), based in Sacramento, California, supports community members through social and economic assistance, support for newly arrived immigrants, youth education and scholarships, and community activities. This policy explains how we handle personal information through www.meamehaza.com, association forms, membership administration, events, donations and assistance programs.

This policy applies to members, applicants, donors, volunteers, program participants and website visitors. External payment services, social networks and other linked websites have their own privacy policies. We provide additional notices when a particular program requires different information or handling.

Information we collect

Contact and membership information may include your name, email, phone number, address or state of residence, relevant membership eligibility information, age or confirmation of eligibility, application details, account identifier, membership status and dues history. Where needed under the bylaws, eligibility information may include a connection to the community served by MMA.

Program and event information may include volunteer interests, skills, registrations, attendance, waiting-list status, scholarship information, requests for assistance and supporting documents. A wedding or bereavement assistance request may include family relationships, dates, verification details and payment instructions necessary to assess and administer the request.

Donation and financial records may include donor contact details, transaction references, amounts, currency, payment method, payment status, invoices and receipts. Public profiles and activity coverage may include approved names, roles, biographies, photographs, video and social links.

Technical information may include IP addresses in hosting or security logs, browser and device details, visited pages, timestamps, login activity and security events. Information comes from you, authorized representatives, association officers, service providers and your use of the website. Please provide another person’s information only with appropriate authority.

How we use information

We use information to respond to inquiries, review applications, manage membership and dues, administer assistance and scholarships, organize events and volunteers, process contributions, issue receipts, maintain financial records, communicate association business, protect accounts and investigate misuse. We also use necessary records for governance, auditing, legal obligations and dispute resolution.

Sensitive requests and confidentiality

Assistance applications can reveal sensitive family, financial, educational or personal circumstances. We request only information reasonably needed for the stated purpose and limit access to the people responsible for reviewing, approving, paying or auditing the request. Do not send passwords, full card details, Social Security numbers or unnecessary immigration or medical records through ordinary contact forms or email.

Where a request requires sensitive documentation, contact MMA first for an appropriate submission method. Public announcements about assistance, weddings or bereavement should use only information authorized for publication. Detailed applications, supporting records and private member documents are not intended for public posting.

Who can receive information

Authorized association personnel may receive information according to their responsibilities. This can include state representatives, the Executive Committee, designated Board members, the treasurer and audit personnel. Access should follow the needs of the task rather than general membership status.

Service providers may handle information needed for website hosting, email delivery, technical support, payment processing or other association operations. Professional advisers, auditors or authorities may receive necessary information for accounting, legal compliance, valid legal requests, safeguarding rights or preventing fraud. A partner helping deliver a program receives information only when needed and appropriately authorized or otherwise permitted by law.

MMA does not sell personal information or share it for cross-context behavioral advertising. We do not make member contact lists available for unrelated commercial marketing. Publication of donor names, member directories, personal stories or profiles requires appropriate permission; providing information for administration does not by itself authorize public publication.

Payments and online forms

Where enabled, Stripe and PayPal process payments through their hosted services. MMA’s association website records transaction information but does not store full payment-card numbers or card security codes. Zelle transfers take place through participating financial institutions and are confirmed manually against the association’s bank records. Those providers handle information under their own policies.

Form submissions are stored in the website’s database and may be emailed to an authorized association recipient. Email copies and payment records may therefore remain outside the website database. A pending, failed or cancelled payment may still leave a transaction record needed for reconciliation.

Cookies and external content

WordPress and enabled services may use cookies or similar technologies for sign-in, account sessions, security and preferences. Your browser can block or delete cookies, although doing so may prevent sign-in or other features from working. Security and hosting services may also create logs needed to maintain the website.

When present, embedded videos, maps, social content or payment tools may send information to their providers, which may set their own cookies. Following a social link takes you to a separate service. Any optional analytics or advertising tools must be described in an additional notice before use, with appropriate choices where required. This policy does not authorize undisclosed tracking.

The association website does not intentionally use personal information for behavioral advertising. Browser Do Not Track signals do not change essential security or account processing. Where applicable law requires recognition of an opt-out preference signal, we will honor it for the covered activity.

Children and younger participants

The bylaws provide for adult membership from age 18 and permit younger people to participate as observers. Youth participation does not make their information public. Parents or guardians should handle requests and permissions where appropriate, including youth activities, scholarship applications and identifiable photographs.

The general website is not intended for children under 13 to submit information independently. A parent or guardian should contact MMA before supplying information for a child under 13. We do not knowingly collect such information directly from children without the permissions and safeguards required for the activity. If you believe a child submitted information without appropriate authorization, contact us so we can review and remove it where appropriate.

How long we keep information

We keep information for as long as reasonably needed for its purpose, including active membership, program administration, accounting, audits, legal requirements and disputes. Routine contact, volunteer and event-interest submissions are subject to the association’s configured retention period; records connected to an ongoing matter may be needed longer.

Membership, donation, dues and assistance records are reviewed separately because financial or governance obligations may require longer retention. We periodically review records for deletion or appropriate anonymization when they are no longer needed. Backup copies and authorized email records may remain until their normal retention cycle ends. Requests to delete information may be limited by these obligations.

Your choices and privacy requests

You may ask MMA to explain the information it holds about you, provide access to it, correct inaccurate details, delete information that is no longer needed, or review a particular use or disclosure. You may also ask to withdraw permission for optional publicity, photographs or nonessential communications. Previously distributed printed materials and third-party copies may not be recoverable, but we will consider removal from channels we control.

Use the contact details below or the website’s Contact Us page. Describe your request without attaching unnecessary sensitive documents. We may reasonably verify your identity or an authorized representative’s authority before disclosing records or making changes. We will explain any limits on a request and respond within the time required by applicable law.

Where applicable privacy law provides additional rights, we honor those rights. Requesting privacy assistance will not itself result in retaliation or loss of membership rights. A request may nevertheless prevent us from providing a service that genuinely requires the information. Essential dues, account, meeting or safety notices may continue even if you decline optional communications.

Security and service locations

We use reasonable administrative and technical safeguards, including access controls, secure connections and protections for forms and payment handling, appropriate to the information involved. Safeguards reduce risk but cannot guarantee that every transmission or system will remain secure. Keep your login credentials private and report suspected account misuse promptly.

Information may be handled in the United States and in other countries where authorized providers operate. Privacy laws may differ between locations. We consider appropriate safeguards when selecting and using providers. If a security incident requires notification under applicable law, we will provide the required notice.

Policy changes

We may update this policy as our activities, services or obligations change. The updated version and effective date will appear on the website. We will provide additional notice of material changes where required. A policy update does not by itself authorize a new use of previously collected information that requires separate permission.
